The integration between MailBlue and Microsoft Dynamics 365 synchronizes leads, contacts, and account information in both directions. This guide covers setup and the tags applied during synchronization.

What should I know before setting up the integration?

In Microsoft Dynamics 365, the integration app is named 'ActiveCampaign'. This is the app you use to connect your MailBlue account.

  • You configure the integration in your Microsoft Dynamics 365 account.

  • You need your MailBlue account API URL and API key.

  • To set up or manage the app, you must be a System Administrator or have the ActiveCampaign Admin Security role in Dynamics. The system administrator grants this under 'Advanced Settings' > 'Security Settings'.

  • To access the app, you need the ActiveCampaign User Security role. The system administrator or ActiveCampaign security administrator can assign it through 'User Management' or 'Advanced Settings' > 'Security'.

  • To see synced leads and contacts in Dynamics, you need access to the 'Lead' and 'Contact' entities. The system administrator can provide this through a basic Sales User security role or a custom role. Without it, these records will not be visible.

Important: if you update the app from version 1.24 to version 1.25 or higher, account information starts syncing immediately. To prevent account syncing, switch accounts 'Off' in 'Data Configuration'.

What can I do with the MailBlue and Microsoft Dynamics 365 integration?

With this integration, you can:

  • Sync leads, contacts and account information between Microsoft Dynamics 365 and MailBlue.

  • Sync opportunities from Microsoft Dynamics 365 to MailBlue.

  • View marketing activity for synced leads and contacts in Dynamics.

  • Add leads and contacts to automations from their Dynamics records.

  • Send an email campaign from a lead or contact profile in Dynamics.

  • When syncing opportunities, use the automation triggers 'D365 Opportunity is created' and 'D365 Opportunity is updated'. You can segment contacts using synced opportunity fields or configure conditions based on these fields in the segment builder.

How do I install the app in Microsoft Dynamics 365?

Follow these steps to install the app:

  1. Sign in to your Microsoft Dynamics 365 account.

  2. Go to 'AppSource' in Dynamics and search for 'ActiveCampaign', the app name displayed in Dynamics.

  3. Click 'Get it now'.

  4. Complete the information in the dialog and click 'Continue'.

  5. Complete the remaining steps to install the app in Dynamics.

How do I connect my MailBlue account to Dynamics?

  3. Click 'Add'.

How do I configure data synchronization?

Click 'Data Configuration' in the top navigation bar. This page lets you select sync directions and map fields for leads, contacts, accounts, and opportunities.

  • For leads, contacts, and accounts, you can choose sync direction at both the entity and field level. Field-level direction is available only when entity sync is set to 'Bi-directional'.

  • Opportunity fields only sync from Dynamics to MailBlue, never in both directions.

  • Only compatible field types appear during mapping.

  • You cannot map MailBlue deal fields to fields in Dynamics.

  • You can disable standard lead and contact mappings and remap them to custom fields, except 'Email' and 'Account'.

  • To stop syncing any entity, set the relevant toggle to 'Off'. This applies to leads, contacts, accounts and opportunities.

Important: You must map fields marked 'Required' in Microsoft Dynamics 365. Otherwise, an error may appear on the 'Data Configuration' page.

How do I map fields for leads, contacts and accounts?

  1. Find the entity you want to sync and set its toggle to 'On'.

  2. Choose the entity-wide sync direction: 'Bi-directional', 'Push-only from D365 (outbound)' or 'Pull-only from ActiveCampaign (inbound)'. This entity direction applies to all mapped fields.

  3. Choose the records to sync: 'All leads, contacts, and accounts created or updated' or 'All leads, contacts, and accounts that match specific criteria'. The first option syncs newly created or updated records from this point forward during the next scheduled run. The second syncs only records meeting your criteria, such as a particular source.

How do I map fields when syncing all new and updated records?

  1. Click 'Edit'.

  2. Select the ActiveCampaign fields to sync with Dynamics. You can choose multiple fields.

  3. Click 'Add'.

  4. For each field, select the corresponding Dynamics field in the 'Dynamics' column.

  5. Click 'Save Changes'.

How do I map fields when using specific criteria?

  1. Select the field used for your criteria.

  2. Choose the operator.

  3. Enter the desired value.

  4. Click 'Add'.

  5. A second condition appears. Use it to narrow the selection, or remove it with the trash icon.

  6. To map custom fields, follow the same 'Edit', field selection, 'Add' and Dynamics field mapping process described above.

  7. Click 'Save Changes'.

How do I sync opportunities?

Opportunities must be linked to a syncing contact to sync. In MailBlue, they appear on the contact record in the 'Custom Objects' box. You can map up to 20 custom fields. This sync only runs from Dynamics to MailBlue.

  1. Set the 'Opportunities' toggle to 'On'.

  2. Set 'Opportunity Custom Field Mapping' to 'On'.

  3. Scroll to 'Custom Mappings' and click 'Edit'.

  4. Select the ActiveCampaign fields you want to map and click 'Add'. The fields appear under 'Custom Mappings'. Before saving, you can use 'Edit' to add fields or the trash icon to remove them.

  5. For each selected field, choose the field type in the 'ActiveCampaign field type' column.

  6. Optionally, set 'To Save, a value is...' to 'Not required' or 'Required'. With the first choice a value is not necessary to save; with the second it is.

  7. Click 'Save Changes' in the toolbar and confirm with 'OK'.

Important: once you save Opportunity Custom Field Mapping, the change is permanent. Selected fields remain in the opportunity schema. After saving, trash icons become 'On/Off' toggles. To stop syncing a field, turn it 'Off'; you cannot remove it from the schema.

How do I remap standard fields to custom fields?

For leads and contacts, you can remap standard fields to custom Dynamics fields, except for the email address and account relationship fields. For example, you can map the standard 'Job Title' field in MailBlue to a custom Dynamics lead field called 'Position'.

  1. Expand 'Standard Mappings' for leads, contacts or accounts on the 'Data Configuration' page using the chevron.

  2. Set the standard field you wish to remap to 'Off'. You cannot switch off the 'Email' and 'Account' fields.

  3. Click 'Edit' at the bottom.

  4. Select the standard field in the dialog and click 'Add'.

  5. Find this field under 'Custom Mappings' and select the desired field in the 'Dynamics' column.

  6. Click 'Save Changes' and then 'OK'.

The standard field is now mapped to your custom field and shows as 'Off' under 'Standard Mappings'. If you switch it back 'On', the custom mapping is undone and the standard mapping remains active.

How do I configure the sync schedule?

After completing data configuration, open 'Sync Settings' from the top navigation. Here you can configure Global Sync, Initial Sync and the recurring Job Schedule.

Sync Settings page in Microsoft Dynamics

Global Sync

'Global Sync' is enabled by default and allows the one-time Initial Sync to run. Turn it 'Off' to pause syncing from Dynamics to MailBlue. Data cannot sync in that direction while it is off.

Initial Sync

The one-time 'Initial Sync' runs when 'Global Sync' is 'On'. All leads and contacts meeting your 'Data Configuration' criteria are then synced from Dynamics to MailBlue.

Job Schedule

Under 'Job Schedule', configure recurring synchronization. Open the 'Job Frequency' dropdown and choose:

  • Every 1 hour

  • Every 2 hours

  • Every 4 hours

  • Every 6 hours

  • Every 8 hours

  • Every 12 hours

  • Once daily

The integration does not support an immediate, manually triggered sync. Leads and contacts are synced between systems during the next scheduled run.

The integration setup is complete after you configure the schedule.

Which data is synchronized from MailBlue to Microsoft Dynamics 365?

New accounts
New account records you create in MailBlue sync to Microsoft Dynamics 365 by default, even when they do not match your configured sync criteria. If you have required field mappings, only accounts that contain values for all required mapped fields can sync. An account is only eligible to sync back from Dynamics to MailBlue if it meets your selection criteria in Dynamics.

New leads
To create a new lead in Dynamics from MailBlue, use the 'Create a lead in Microsoft Dynamics' automation action. Only contacts that reach this action in an automation are queued. They receive the D365 tags for a lead pulled from MailBlue and are created in Dynamics during the next scheduled sync.

New contacts
Use the 'Create a contact in Microsoft Dynamics' automation action to create a contact in Dynamics. Only contacts that reach this action are queued. They receive the D365 tags for a contact pulled from MailBlue and are created in Dynamics during the next scheduled sync.

Updated leads and contacts
When synced information changes in MailBlue, mapped fields are updated in Dynamics during a scheduled sync. A lead needs [D365: Lead] together with either [D365: Pushed from Dynamics] or [D365: Pulled from ActiveCampaign]. For a contact, the same rule applies with [D365: Contact] and either of those source tags.

Which data is synchronized from Microsoft Dynamics 365 to MailBlue?

New leads and contacts
New leads and contacts are added from Dynamics to MailBlue during scheduled syncs when they meet the criteria you set under 'Data Configuration'. Synced leads receive [D365: Lead] and [D365: Pushed from Dynamics]; synced contacts receive [D365: Contact] and [D365: Pushed from Dynamics].

Updated leads and contacts
During later scheduled syncs, changes to mapped fields are sent to MailBlue. Leads need [D365: Lead] together with [D365: Pushed from Dynamics] or [D365: Pulled from ActiveCampaign]. Contacts need [D365: Contact] together with either of those source tags.

Which tags are added to my contacts during synchronization?

The Dynamics integration adds tags to the MailBlue profile of each synced lead or contact. The tags identify the record type and the direction in which it was synced.

From Microsoft Dynamics 365 to MailBlue

  • Lead: [D365: Pushed from Dynamics] and [D365: Lead].

  • Contact: [D365: Pushed from Dynamics] and [D365: Contact].

From MailBlue to Microsoft Dynamics 365

  • Lead: [D365: Lead] and [D365: Pulled from ActiveCampaign].

  • Contact: [D365: Contact] and [D365: Pulled from ActiveCampaign].

When records change in Dynamics

When a modified lead is synced from Dynamics, either [D365: Qualified] or [D365: Disqualified] can be added depending on its status. For a deactivated contact, [D365: Deactivated] can be added.

How can I use D365 tags in MailBlue?

You can use the integration tags to:

  • Create 'If/Else' conditions in an automation.

  • Add conditional content to emails.

  • Create goal conditions.

  • Set up a 'Split Test' automation.

  • Update a deal score or contact score.

  • Create segments.

Frequently asked questions

Can I sync leads and contacts immediately?

No. Synchronization follows your configured schedule; immediate sync is not available.

Can I sync opportunities from MailBlue to Dynamics?

No. Opportunities only sync from Microsoft Dynamics 365 to MailBlue and must be linked to a synced contact.

What if I no longer want to sync a custom opportunity field?

After saving, you can turn the field Off, but it remains in the opportunity schema.

Where can I find the tags that were added?

You can see the D365 tags on the profile of the synced lead or contact in MailBlue.

Why is a new account not syncing?

Check that every required mapped field has a value. An account with a missing required value will not sync to Dynamics.
