How can I receive a notification when someone fills out a form?

Sometimes it can be useful to receive a notification when a contact submits a form, for example when you are giving a training or webinar and you want to keep track of who has already signed up. You can set up to receive a notification when a new contact submits your form in two ways, either through a form action or an automation action.

How do I send a notification email as a form action?

Within your form, you can add an action to send a notification email to an email address you have set up.

  1. In the form designer, click on 'add an action' in the right menu.
  2. Then click on 'email results'. Please note: this feature is not available in a trial period.

  3. Next, you can set to which email address the notification email should be sent, from which email address and name the notification email will be sent, and you can set a subject for the notification email.

  4. You will receive a notification email that looks like this:

Keep in mind that through this action, all (custom) fields from your MailBlue account will be included in the notification email. If you have many different fields, this can be overwhelming, especially if you send the notification email to yourself because you find specific details of this contact important.

We have another suggestion for you on how to send a notification email for a new registration where you only receive the relevant fields in the notification email. This is done through an automation.

 

How to send a notification email as an automation action?

If you want to choose which contact fields are included in the notification email, you can work with an automation.

  1. Specify the form in the start trigger and add a new action.

  2. Choose 'send a notification email'

  3. Next, you can set to which email address the notification email should be sent, from which email address and name the notification email will be sent, and you can set a subject for the notification email.

    In the 'message' field, you can compose your own message that you want to send to yourself. Using the 'personalize message' button, you can specify yourself which fields you want to include in the notification email using personalisation tags. Here you can only select the fields that are important to you.

What should I consider when setting up the sender and recipient of the notification email? 

Attention! If you want to send the email from and to the same domain (@mailblue.nl), there is a high chance that receiving email providers will see this as spam. Sometimes these emails are even completely blocked. In this case, you will first need to have a number of IP ranges marked as safe senders. This ensures that emails from and to the same domain arrive successfully. We explain how to do this in this article

You can also choose to send the notification email from your business domain (@mailblue.nl) to your personal email address such as an @gmail.com or @outlook.com email address to bypass this issue. If you choose this option, you do not need to deal with the IP ranges.
