Syncing tasks is only available in Plus and Professional subscriptions.
You can sync all MailBlue tasks with your Google Calendar, Apple Calendar, or another calendar using the 'Calendar' feature. This article contains all the information you need to set this up.
This article includes the following information:
Creating a calendar feed
You can sync a calendar feed to display the following:
- Tasks linked to deals
- Tasks linked to contacts
- Tasks linked to task owners (this is only visible to users)
You can create a calendar feed in the following way:
- Click on 'Deals' on the left side of the main menu.
- Next, click on 'Calendar' in the sub-menu.
- To add a calendar feed, click on 'Add a new calendar'.
- A new window will open. You can add the name of the calendar in the designated field.
- Under 'Tasks' in the drop-down menu, you can specify which tasks you would like to synchronise. In this menu, you can select the following:
- Both: synchronise tasks linked to deals and contacts.
- Deals: synchronise all tasks linked to deals.
- Contacts: synchronise all tasks linked to contacts.
- Indicate which pipelines you want to synchronise tasks from. You can select one, multiple, or all pipelines by clicking on the respective box (this option only appears if you have selected 'Deals' or 'All' under tasks).
- As an account administrator, you can view the 'Task assigned to' section. Your own name will be automatically selected and displayed in grey. This means that the calendar feed will include your tasks, and this cannot be changed. You can then check multiple users. These tasks will be displayed in the calendar alongside your own task.
- You can enable the 'Include notifications' box if you wish to receive notifications in your calendar.
- Finally, click on 'Add' to add the calendar feed.
A URL will be generated on the calendar page in your account.
Adding a calendar to your own agenda
Once you have created a calendar feed, you can add the calendar to your own agenda.
- On the calendar page, a URL is displayed, copy this URL.
- Add the URL to your own calendar. (In this example, Google Calendar was used.)
Account Manager: once the URL is added to the calendar, all tasks that are not marked as completed will be displayed in the calendar.
All other account users: if you are not an account manager, you will only see the tasks assigned to you that are not marked as completed.
It is important to know the following:
- If you make changes to your MailBlue account, it will automatically sync to your own calendar.
- If you make changes to your own calendar, it will not sync to the account.
- Changes may not be immediately visible.
Editing the calendar feed
You can adjust the following at any time in your calendar feed:
- Calendar name;
- Tasks;
- Pipelines;
- Task owners;
- Turning notifications on or off.
You can edit one of these properties as follows:
- Click on 'Edit' next to the calendar feed you would like to modify.
- A new screen will open to make changes to the calendar feed.
- Click 'Save' to save the changes.
All changes will be synced with your own calendar. You do not need to re-add the URL to your calendar.
